A pallet label looks simple enough. It sits on the outside of a wrapped pallet, carrying the information needed to identify, move, store and receive the goods. But in practice, that label is doing several essential jobs simultaneously.
It may need to carry a barcode, SSCC, batch number, destination, product data, customer reference, handling information or compliance details. It needs to stay readable during movement, forklift handling, transport and storage. It also needs to be printed and applied in the right place, at the right point in the process, with the right data.
That is why pallet labelling also affects line, warehouse and traceability decisions. With the right format, goods can move cleanly and seamlessly through production, despatch and receiving. But the wrong format can lead to failed scans, relabelling, rejected deliveries and avoidable manual checks.

Barcode pallet labels
Barcode labels are still the most common choice for pallet identification. They are familiar, cost-effective and widely supported by warehouse, retail and logistics systems.
A standard pallet barcode label can carry product, batch, order, destination and SSCC data in a format that can be scanned at goods-out, goods-in and handover points. For many manufacturers and distributors, this is enough to support traceability and customer compliance, especially when pallets move through predictable routes and labels are easy to reach.
Their main strength is simplicity. Relatively inexpensive, straightforward to print, and easy to use, barcode labels give teams a reliable way to identify pallets without adding unnecessary complexity to the process. They also fit well with automated pallet labelling systems, where labels are printed and applied directly to wrapped pallets as part of the end-of-line process.
The trade-off is that barcodes need line of sight. If the label is facing the wrong way, obscured by stretch wrap, damaged by handling or placed where a scanner cannot reach it, the process slows down. Someone has to find the label, position the scanner and capture each pallet one at a time.
Barcode labels are best suited to operations where scan points are controlled, pallet presentation is consistent and customer requirements are centred on GS1 and SSCC compliance.
RFID pallet labels
RFID labels add a small RFID inlay to the label, allowing information to be read using radio waves. This means the pallet can be identified without a direct line of sight, and multiple tagged pallets can be read at the same time.
This makes RFID useful in busy warehouses, despatch areas, yards and distribution environments where manual scanning is creating delays. A pallet can pass a reader at a doorway or transition point and be recorded automatically. That can help with inventory accuracy, asset tracking, goods movement and proof that a pallet passed through a particular location.
RFID labels can also carry richer data and support more automated tracking across the supply chain. They are well suited to high-value goods, returnable assets, reusable packaging, automotive components, healthcare products and other environments where knowing where a pallet has been matters as much as knowing what is on it.
The main consideration here is setup. RFID performance depends on the tag, reader position, pallet contents, distance, speed and surrounding materials. Liquids, foil packaging and metal can all affect read performance. RFID labels are also more expensive than standard barcode labels, so the business case is strongest where speed, visibility or loss reduction justify the additional cost.
RFID pallet labels are best suited to higher-volume sites, complex supply chains, returnable packaging loops and operations that need automated movement records.
Large format and long-range labels
Some pallet labels need to be seen or scanned from further away. Large format labels make key information easier to read at distance, especially in warehouses where pallets are stacked or shifted quickly between zones.
That’s why making the right data visible is crucial. A larger label can help operators identify pallets faster, which then reduces walking and checking, while making scanning more reliable if the pallet is not positioned perfectly.
Long-range scanning is often needed in high-bay warehouses, as well as cold stores, bulk storage areas and large despatch zones. In these situations, a small or poorly positioned label can become a repeated cause of delay. By using a clearer, larger label, you’ll save time as operators can easily identify goods without moving pallets.
But the main limitation here is space and placement. If you’re using large labels, you’ll need a suitable area on the pallet or wrap, and the design needs to prioritise legibility. Cramming too much information onto a bigger label defeats the point. The barcode, human-readable text and any handling instructions need space to be seen and understood clearly, at speed.
Large format labels are best suited to bulk storage, high-volume despatch, long-range scanning points and sites where operators need to identify pallets quickly from a distance.
Label materials and specialist environments
The label material matters as much as the data. Depending on your storage and distribution needs, a pallet label may need to survive cold, damp, heat, dust, abrasion, outdoor storage or repeated handling – all things that can tamper with its ability to read labels correctly. Even a label that looks fine at the printer can fail later if the adhesive or ribbon isn’t made for the environment.
Cold stores may need adhesives that work at low temperatures. Food and pharmaceutical environments may need labels that support traceability and compliance without smudging or lifting. Outdoor or yard storage may call for more durable materials. Reusable assets may need labels that can tolerate repeated handling, cleaning or long-term use.
Legibility should be treated as the main requirement. If the barcode can’t be scanned or human-readable isn’t being read, the label has technically failed, even if the data behind it is correct.At that point, operators are forced back into manual workarounds, which adds time and weakens the traceability record the label was meant to back up.
